ARSI Privacy Policy

This Privacy Policy explains how Smartics & Gates Inc. ("we", "us", "our") collect, use, disclose, and protect data when you install or use the ARSI desktop application ("App").

1. Data Controller

2. Data We Collect

  • Account information you provide: name, email, phone, address, profession (only if you create or register an account).

  • Licensing & session information: license keys, license activation events, session counters and counts required to enforce licensing.

  • Essential licensing usage data (transmitted regardless of your telemetry choice — contract performance): after each successful import, ARSI sends a licensing record to the license server so license usage can be enforced and billed correctly and so processed statements can be identified in case of a dispute. This record contains: your license key, your user id, the NUMBER of transactions imported (never their contents), the bank name, the account type, the transaction type (deposits or withdrawals), and the statement period (start and end dates).

  • User-provided transactional data: any accounting/banking transaction data you import or submit to the App for processing or conversion.

  • Diagnostic data (only with your explicit opt-in consent, disclosure version 1.2.0). If you opt in, ARSI sends the following diagnostic information when an import succeeds or fails:

    • An anonymous installation identifier (a one-way cryptographic fingerprint — never your machine name, user name or network address).
    • Your ARSI account number (a numeric id — never your name or email).
    • A masked license reference showing only the first and last 4 characters (e.g. "[A1B2...9F8E]") — never your full license key.
    • The application version.
    • The event type (e.g. "IMPORT OK" / "IMPORT ERROR").
    • The bank name and account type selected for the import.
    • The NUMBER of transactions processed — never their contents.
    • The error name and description, with file paths and user names removed.
    • The date and time of the event.

    The account number and masked license reference are included so our support team can locate the diagnostics related to your support request. ARSI never transmits your transaction data, full license key, user name, machine name, network (IP/MAC) addresses, or Windows domain as part of diagnostics.

  • Authentication metadata (where applicable): token identifiers and MFA metadata (not raw passwords).

3. How We Collect Data

  • Directly from you through forms and import actions.
  • Automatically when you opt in to diagnostics/telemetry.
  • From third-party services you authorize (e.g., license servers or payment processors).

4. Purposes for Processing

  • Provide, operate and maintain the App and licensing features.
  • Authenticate and manage sessions and entitlements.
  • Diagnose and fix technical issues, improve product stability and security.
  • Send necessary transactional or system emails (license keys, account verification).
  • Comply with legal obligations and prevent fraud or abuse.

5. Legal Basis

  • Performance of a contract (providing licensing and purchased features).
  • Legitimate interests for security, fraud prevention and product improvement (we balance these against your privacy).
  • Consent for non-essential telemetry and analytics.

6. Consent & Telemetry

  • Sending diagnostic data is OPTIONAL and is OFF unless you turn it on. Telemetry and detailed diagnostics are collected only after an explicit opt-in consent within the App (you are asked on first run and again whenever this disclosure materially changes).
  • You can change this choice at any time in ARSI under About → Privacy Settings. Turning diagnostics off takes effect immediately and also deletes any diagnostic data queued on this computer.
  • When you opt out, no diagnostic data is transmitted. Only local, on-device logging remains, and licensing/session calls required to operate the App continue to function. Essential licensing usage data (see Section 2) is not affected by the telemetry choice: it is required to operate your license (contract performance) and is always sent after a successful import.
  • Diagnostic data is used solely to diagnose problems and improve the quality and reliability of ARSI. It is never used for advertising and is never sold or shared for marketing purposes.

7. Data Sharing & Third Parties

  • License and logging backends (our secure servers).
  • Third-party logging/monitoring providers (only if telemetry is enabled and with your consent).
  • Email providers for account and license delivery.
  • Payment processors or license vendors if you complete a paid purchase.
  • We will never sell your personal data.

8. Data Minimization & Anonymization

  • Diagnostic payloads are built from a strict allowlist of fields (see Section 2). Anything not on the allowlist — including transaction contents, machine name, user name, Windows domain, IP/MAC addresses, and full license keys — is never included.
  • The installation identifier is a salted one-way cryptographic fingerprint; it cannot be reversed to identify your machine.
  • Error text included in diagnostics is scrubbed of file paths and user names before transmission.

9. Data Retention

  • Account and license data: retained as needed to provide the service and for legal/compliance reasons.
  • Diagnostic data: retained for 90 days and then permanently deleted. Diagnostic data temporarily queued on your computer while offline is limited in size and age and is deleted immediately if you withdraw consent.
  • You may request deletion of your account data by contacting privacy@smartics-gates.com (some minimal records may be retained for legal reasons).

10. Security

  • We use TLS for network transmission.
  • Secrets and credentials are stored on servers in secure secret stores (e.g., Azure Key Vault) — not embedded in distributed client builds.
  • Access controls, least-privilege and encryption at rest are applied on server-side services.

11. Children

  • The App is not directed to children under 13. We do not knowingly collect data from children.

12. Your Rights & Choices

  • Access, correction, deletion requests: contact privacy@smartics-gates.com.
  • Opt in to or out of diagnostic telemetry at any time in ARSI under About → Privacy Settings.
  • Unsubscribe from marketing communications via links in emails; critical account messages will still be delivered.

13. Permissions & Capabilities

  • The App does not request camera, microphone, location, or contacts permissions. If such features are added, the App will request and document explicit consent and purpose.

14. External Links & Third-Party Services

  • Links to third-party sites or services are not controlled by us. Review their privacy policies separately.

15. Changes to This Policy

  • We may update this policy; material changes will be posted in-app and here with the effective date.
